A step-by-step guide to setting up and using File Compress for monday.com.

Prerequisites

  • A monday.com account with admin permissions
  • At least one board with file columns

Getting Started

1. Install the App

Install File Compress from the monday.com marketplace. Only account administrators can install apps. During installation, you will be asked to grant permissions:

  • boards:read — Read board structure, columns, and file assets
  • boards:write — Upload compressed files back to your board

2. Add the Board View

After installation:

  1. Open any board that has file columns
  2. Click the + button next to your existing views
  3. Select Apps and find File Compress
  4. Click to add it as a new view on your board

3. Authorize

The first time you open the File Compress view, you'll be asked to authorize. Click Authorize App and approve the permissions in the popup window. This allows the app to read files from your board and upload compressed versions back.

Using File Compress

Board View Tabs

Once authorized, you'll see four tabs:

  • Manual Compress — Select individual files to compress
  • Bulk Compress — Compress all files in a group or board at once
  • ZIP Bundle — Create ZIP archives from multiple files
  • Compression Report — View savings analytics and compression history

Compression Levels

  • Low — Minimal quality loss, roughly 20–30% file size reduction
  • Medium — Balanced quality and size, roughly 40–60% reduction
  • High — Maximum compression, roughly 60–80% reduction (visible quality loss for images)

Save Modes

  • Replace Original — The compressed file replaces the original in the same column
  • Save to Another Column — Keep the original and save the compressed version in a different file column

Setting Up Automations

Go to the Automations Center on your board and search for “File Compress”. Three automation recipes are available:

  1. Compress Images — Compress JPEG, PNG, WebP, GIF, AVIF files in a column and save to another column
  2. Compress PDFs — Compress PDF files in a column and save to another column
  3. Zip Files — Bundle all files in a column into a single ZIP archive

Each recipe can be triggered by column changes, status changes, or button clicks. Automations require a Pro subscription.
